Terms and Conditions

PixelBookWorks, a division of Pixel s.p., is located in Banja Luka, Bosnia and Herzegovina, and operates as a registered sole proprietorship. The following terms and conditions apply to all services provided by PixelBookWorks.

  1. Book Cover Design Services
    • PixelBookWorks provides design services for both eBook and print book covers. Payment is required upfront, but a 100% satisfaction guarantee or moneyback guarantee is included.
    • For eBook cover designs, clients will receive a high-resolution JPG file of the complete cover.
    • For print cover designs, clients will receive a high-resolution, print-ready PDF file of the complete paperback cover, designed according to a template from Kindle Direct Printing, Ingram Spark, Lightning Source, or another printing service. The fee covers the final print-ready file for one provider; additional files will incur extra charges.
    • Licenses for royalty-free stock images needed for your cover will be purchased if necessary. These images are to be used in your book cover design strictly and not for other purposes. You may license these images independently for other uses.
    • AI images may be used in cover designs. These images come with a commercial license, ensuring legal use on your book cover. AI images are created exclusively for your book cover and combined with other images and human-designed text layouts to produce a unique design. Note that AI images may be a part of your cover design, but not the entirety.
    • Discounts from coupon or discount codes apply only to items ordered during the initial order. Additional items ordered later will not be eligible for the discount.
  2. Book Cover Design Process
    • The process starts with the front cover or eBook cover, providing at least one, two, or three initial drafts/concepts, depending on the order.
    • Clients can request changes to one of the initial drafts, which will be made within a reasonable time frame, usually within 48 hours, depending on the nature of the changes and our workload.
    • If clients are dissatisfied with the initial drafts, a new draft option will be designed. If dissatisfaction persists, we may continue with new drafts or cancel the project and refund all fees paid.
    • Once a concept is selected and changes are made, earlier concepts become unavailable. Reverting to an earlier draft will incur a separate fee of at least 50% of the normal eBook cover design fee.
    • For any orders, we will make necessary changes to the chosen cover within reason. However, we reserve the right to cancel the project and refund all fees paid if we determine that client expectations cannot be met.
  3. Reasonable Changes
    • Reasonable changes are those that do not substantially alter the approved concept, adhere to the original brief, can be made using existing stock imagery, and do not constitute a completely new cover design. These typically involve tweaking elements, changing colors, moving elements, altering text placement and/or fonts, and resizing.
  4. Approval and Licensing
    • Upon approval of the eBook cover or print cover, clients will receive the final high-resolution files.
    • Clients receive an exclusive license to use the final cover design for their eBook or print cover and associated marketing materials.
    • Clients are granted the same rights to use earlier concepts after the final design is approved.
    • Clients agree to accept the approved cover as is, even if it contains errors, inconsistencies, or defects. PixelBookWorks is not liable for any penalties, errors, or losses resulting from the use of the cover.
  5. Print Cover Design Process
    • After the eBook cover or front cover is approved, the print/paperback cover design process begins, including the spine and back cover design. Required information includes final trim size, page count, paper and interior type, back cover text, printer details, and ISBN (if applicable). For printers other than Kindle Direct Publishing, Ingram Spark, or Lightning Source, clients must provide a template.
    • Changes to the provided information after layout begins will incur additional costs.
    • One print cover draft will be sent based on the provided information, with reasonable changes made until client satisfaction is achieved.
    • Upon approval of the print cover, the final high-resolution, print-ready CMYK PDF file will be provided.
    • Clients are responsible for distributing the print-ready file to their printer and obtaining a printed proof. PixelBookWorks is not liable for errors or losses resulting from printing the cover.
  6. Formatting and Interior Layout Services and Their Design Process
    • PixelBookWorks offers professional formatting and interior layout services for eBooks and print books, ensuring a polished appearance.
    • Services include appropriate font selection, line spacing, margins, chapter headings, and other design elements that enhance the reading experience.
    • Clients must provide the final manuscript, including front and back matter, in Microsoft Word docx format. Content changes after formatting has begun may incur additional fees.
    • Book interior draft is provided within 72h of payment being submitted and usually contains front matter pages and a first chapter/section.
    • Upon approval of the draft, final files for eBook and/or print book interior layouts will be provided.
    • Clients are responsible for uploading the final files to their publishing platforms. PixelBookWorks is not liable for errors or losses resulting from the upload or distribution of the formatted files.
    • Clients agree to accept the approved interior layout as is, even if it contains errors, inconsistencies, or defects. PixelBookWorks is not liable for penalties, errors, or losses resulting from the use of the formatted interior. Post-approval changes will be charged separately.
  7. Proofreading Services
    • PixelBookWorks offers comprehensive proofreading services to ensure high-quality manuscripts.
    • Proofreading includes correcting spelling, grammar, punctuation, and consistency, with minor edits for clarity.
    • Clients must provide a complete manuscript in electronic format, along with any specific requests at submission.
    • After initial proofreading, the revised manuscript will be returned for client review. Reasonable changes requested by clients will be incorporated within a reasonable timeframe.
    • Upon final manuscript approval, clients will be invoiced for any remaining fees.
    • Proofreading fees are calculated per thousand words and will be clearly communicated in custom quotes as PixelBookWorks doesn’t yet provide these services as individual packages.
    • Clients may cancel proofreading services after the first draft and receive a 50% refund of fees paid. Cancellations after subsequent revisions will be assessed case-by-case. In some cases, the deposit may not be refunded.
    • In the event of cancellation, clients must destroy all drafts and revised manuscripts provided by PixelBookWorks and retain no rights to these files.
    • PixelBookWorks is not liable for errors, penalties, or losses arising from the use of the proofread manuscript. Clients agree to accept the final version as approved, even if it contains errors or inconsistencies.
  8. Cancellation
    • PixelBookWorks reserves the right to cancel a project at any time for reasons including numerous drafts, concept changes, communication breakdowns, or changes to the original brief. All fees paid up to that point will be refunded.
    • Clients may cancel the project and receive a full refund if they have not selected a cover design draft and correspondence has occurred within 30 days prior to cancellation.
    • For interior formatting projects, if two or more drafts have been delivered, the validity of the cancellation will be assessed case-by-case. The deposit may not be refunded.
    • If clients cancel the project after final approval of the eBook cover, front cover, or interior formatting, they forfeit 100% of the respective design or formatting fee.
    • In any cancellation case, clients must destroy all designs and formatting files created by PixelBookWorks and retain no rights to any designs.
  9. Correspondence
    • All communication between clients and PixelBookWorks will be conducted via email or through the PixelBookWorks.com website. No exceptions.
  10. Confidentiality
    • All client information and materials are confidential and will only be used by PixelBookWorks for the project. Information and materials will not be shared with third parties unless requested by the client.
  11. Limitation of Liability
    • PixelBookWorks, its employees, contractors, and affiliates shall not be liable for any direct, indirect, incidental, special, or consequential damages resulting from the use or inability to use our services or the cost of procuring substitute services.
    • PixelBookWorks’s total liability for any claim related to our services shall be limited to the amount paid by the client for the services in question.
  12. Indemnification
    • Clients agree to indemnify, defend, and hold harmless PixelBookWorks, its employees, contractors, and affiliates from any claims, damages, losses, or expenses, including reasonable attorney’s fees, arising from the use of our services, the client’s breach of these terms and conditions, or any third-party claims.
  13. Intellectual Property
    • Upon full payment and approval of work, clients receive the exclusive license to use the final cover design for their eBook, print cover, or interior files and any associated marketing materials.
    • Clients are not granted any rights to use any earlier drafts or the final approved covers or interior files until full payment and approval are received.
  14. Governing Law and Jurisdiction
    • These terms and conditions shall be governed by the laws of the country where PixelBookWorks is registered.
    • Any disputes arising from these terms and conditions or our services shall be subject to the exclusive jurisdiction of the courts of the country where PixelBookWorks is registered.
  15. Severability
    • If any provision of these terms and conditions is held to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
  16. Changes to Terms and Conditions
    • PixelBookWorks reserves the right to modify these terms and conditions at any time. Clients are responsible for periodically reviewing the terms to stay informed of any changes. By continuing to use our services after changes have been posted, clients are deemed to have accepted those changes.
  17. Entire Agreement
    • These terms and conditions, along with any other documents incorporated by reference, constitute the entire agreement between PixelBookWorks and clients, superseding all prior agreements, understandings, or representations, whether written or oral.
